Cassidy provides flexible options for managing access and permissions for your meeting content, ensuring that team members have access to the information they need while maintaining security and control. You can share individual meetings or create sharing rules for automatic access management.
Sharing individual meetings
Navigate to meeting record: Go to the specific meeting you want to share from your Meetings page.
Open sharing options: Click "Share" in the top right corner of the meeting record.
Set general access: Select the appropriate access level:
"Restricted" - Only select people and groups can access
"Team" - Anyone in your organization can access
"Public" - Anyone on the internet with the link can access
Add people or groups: If you selected "Restricted" access, add specific people or groups who should have access to the meeting. To add people, simply start typing their names or email addresses, and select them from the list. For each person or group you add, you can set granular permissions by selecting either "Can edit" or "Can view" to control their level of access to the folder. To add or remove groups, refer to the article on creating and managing groups for more information.
Create sharing rule (optional): Click "Create new Meeting Sharing Rule" to set up automated sharing based on meeting criteria. See the sharing rules section below for more information.
When a sharing rule applies to a meeting, you'll see it listed under the "Shared via Sharing Rules" section on the meeting record, making it easy to understand how access was granted.
Share the link: Optionally click "Copy link" to share the meeting link with those who have access, then click "Done" to save your settings.
βFor public links, the meeting will open in a dedicated window that displays the video, details, summary, and transcript so anyone can view the content.
Meeting sharing rules
Access sharing rules: Click "Sharing rules" from the Meetings page, or navigate to the organization settings page and click the "Meeting Sharing" tab.
Create new rule: Click "Add Rule" to begin setting up automated sharing criteria.
Enter rule name: Provide a descriptive name for your sharing rule.
Set meeting filters: Configure filters to specify which meetings this rule should apply to.
Create AND / OR conditions based on Meeting Title, Meeting Owner, Meeting Owner Group, Organizer Email, Participant Names, or Invitee Emails
Delete conditions by clicking the trash icon
Click "Preview" to see an example of which meetings it would trigger for based on the conditions, for previous meetings
Preview and save: Review the meetings that match your specified filters, then click "Save & Assign Users/Groups."
Add people or groups: Select the specific people or groups who should automatically receive access to meetings matching this rule, then click "Share."
Complete setup: Click "Done" to finalize your sharing rule.
Manage existing rules: You can edit, duplicate, or delete any rule by clicking the ellipsis (...) on the rule record.
